Add a member of staff

Add a member of staff in Nexus Manager, capture their details and role, and give them the access they need to start work.

Every member of staff in Pensieve holds their own identity, so the record always shows who acted. You add a person here in Nexus Manager, capture their details and role, and give them the access they need to start work.

One identity per person

Each person signs in as themselves and sets their own sign-in. That keeps the record truthful about who acted, even on a workstation a whole team shares. Read signing in on a shared workstation for how a shared screen stays attributable.

The details

The invitation captures who the person is and the role they hold. Their access follows from that role together with the shifts and care relationships they take on later.

Add the person

    Open the staff panel

    In Nexus Manager, open the Staff panel and choose Invite staff. The invitation form opens on the current site. If you land on the wrong site, switch site first, so the person arrives where they will work.

    Enter the person's details

    Give their full name, their email and a sign-in name. The form holds until the three read complete. The email carries their invitation, and the sign-in name is what they use to sign in.

    Choose the role and site

    Pick the role the person holds at this site. The role sets the work they do and the capabilities they carry, so choose the one that matches their job. The role now shows against the site.

    Send the invitation

    Choose Send. The platform produces a claim link for the person, shown once. Save the link now, before you move on.

    Hand over the claim link

    Send the claim link to the person by your usual channel. Once they hold it, they can claim their place. If a link goes astray, invite the person again for a fresh one.

    The person claims their place

    The person opens the link, confirms their details and sets their own sign-in. Their access follows from the role and site you chose.

    Confirm their access

    Back in the Staff panel, check the person appears with the right role at the right site. To read it from the record side, open what this person can see.

The claim link is shown once

A claim link appears one time, when you send the invitation. Save it and pass it to the person before you close the panel. If a link is lost, invite the person again for a fresh one, so their access rests on their own sign-in.

How access follows the role

A role gives a person capabilities at a site. Which patients those capabilities reach rests on a care relationship, from the person's admission-time place on a care team and the patient's consent. So a role opens the actions, and a live relationship points them at the right records.

Add many at once

To bring on a whole team, choose Bulk invite and upload a list with a row for each person. The platform checks every row and returns a claim link for each one. Save the result and distribute the links before you close the panel.

Common questions

What sets the person's password?

The person sets their own sign-in when they claim their place, so the session stays their own.

Does the role open patient records on its own?

Access combines the role with the person's relationship to the patient, so the role gives capabilities and a current care relationship decides which patients they reach. Read roles and relationships.

Where do I change a person's access later?

Adjust it in Cirith Manager. Read change what someone can do.
