Procedure
Book an appointment
Book an appointment for a patient, pick the department, clinician and time, and confirm the slot so the visit is expected.
You book an appointment in Gate when a patient's visit is planned for a later day. Pick the department, the clinician and a time, then confirm the slot so the visit is expected at the desk. An appointment is a booked future slot for a visit that opens when the patient arrives.
Before you start
Book the appointment
- 1
Open the patient's desk
Find the patient and open their desk. If the patient is new, register them first.
- 2
Start a booking
Select Schedule Visit. The appointment dialog opens. A patient can hold several appointments, so this stays available even when one is already booked.
- 3
Choose the visit type
Pick
Outpatient,InpatientorDay-care. An urgent arrival needs no appointment and opens through the emergency desk. - 4
Pick the department and clinician
Choose the department, the responsible clinician and the care team for the visit.
- 5
Choose a time
Pick the date and time from the calendar. The calendar shows holidays, the clinician's leave and their availability, so only an open slot can be picked.
- 6
Clear any conflict
If the time falls within
30minutes of another of this patient's appointments, a possible-conflict warning appears. Confirm with Schedule anyway where the clash is intended. Changing the time clears the warning. - 7
Confirm the slot
Select Schedule to book. The appointment appears on the desk as
Booked. If the write times out, the dialog stays open and reports the failure, so you can retry.
The appointment lifecycle
A booked appointment moves to Confirmed, then to Completed when the patient arrives and the visit opens. An appointment the patient misses is marked Missed, and one called off ahead of time is Cancelled.
Reschedule or cancel
Each appointment on the patient's desk carries a Reschedule and a Cancel action.
| Action | What it does |
|---|---|
| Reschedule | Adds the new time and keeps the appointment where it is in its lifecycle. The full time history stays on the record. |
| Cancel | Closes the slot with a reason, so the desk holds why the visit lapsed. |
Common questions
Does an appointment become a visit on its own?
An appointment becomes a visit when the patient arrives and you open the visit. The booking marks the visit as expected at the desk.
Can one patient hold several appointments?
Yes. The desk places no limit, so a patient can carry a course of visits, each with its own slot.
What happens when a patient misses a slot?
The appointment is marked Missed and stays on the record, so the desk can follow up or rebook.
Open the visit when the patient arrives for their appointment.
