Registering a patient

Walks through registering a new patient at the front desk, capturing their identity details and starting the first visit record.

Registering a new patient starts at the front desk. You capture who the patient is, create their record, and open the first visit. Gate carries all three steps in one flow.

You register as yourself

Each member of staff signs in with their own identity, so the record names you as the person who registered the patient. On a shared desk, sign-in stays quick with a PIN or a passkey, and your session stays your own.

The steps

    Open the registration desk

    Sign in and land in the Chamber, the staff desktop. The dock shows the actions your role allows. Choose Register a patient.

    Search before you create

    Search the existing records by name, number or phone. If a match appears, open it rather than making a second record. A duplicate splits one patient's history across two numbers, so a search first keeps the history whole.

    Capture identity details

    Enter the patient's name, date of birth, gender and contact details. Assisted fill reads an identity document and prepares a draft that you confirm. Add any external identifiers the patient carries, such as a national health identifier or an insurer membership.

    Confirm the record

    Check the details and select Create record. The platform creates the patient record, which belongs to the patient and sits outside the tenancy structure, and issues the patient number. If a save stalls before it confirms, the desk keeps your entry and shows the failure, so you retry with your typing intact.

    Open the first visit

    Choose the visit type and select Open visit. The visit opens in the Registered state, ready for care. From here the record, orders and billing pick the patient up.

Common questions

What if the patient is already registered?

Open the record the search returns and go straight to opening a visit. One patient holds one Pensieve patient number, so you reuse the existing record rather than adding another.

Can I register a patient without every detail?

You capture what you have and open the visit. Staff enrich the record later, and the platform tracks each addition against the person who made it.
